Human Resources (HR) Management:

  • Obtain and maintain necessary HR training and certifications per state of Illinois requirements
  • Drive recruiting process
  • Ensure 1st class new employee on-boarding process
  • Manage all employee HR related files, calendars, etc. via Bamboo HR
  • Create and maintain company handbook with policies and procedures
  • Assist with coordination of company-wide meetings/events
  • Assist with health insurance and other employee benefit programs

Accounting:

  • Processing accounts payable invoices including organizing incoming invoices and statements, entering/updating vendor information, posting invoices, and processing invoice approvals.
  • Communicating with vendors and company personnel regarding missing documents, credit memos, and invoice approvals.
  • Prepares check run for approval and print checks. Process special check runs as required and approved by Director of Finance and/or President.
  • Annually assists Director of Finance with the production of the vendor 1099 forms and reporting prior to January 31st each year.
  • Assists Director of Finance with closing process for jobs closed during the month as part of the month-end procedures.
  • Setup new customers in the accounting database.
  • Record deposits within (1) business day of receipt.
  • Track and coordinate the receipts of refundable bonds and miscellaneous receivables.
  • Special projects as assigned by Director of Finance.

SUMMARY:

The Marketing & Sales Coordinator successfully creates brand awareness for Beechen & Dill Homes through digital marketing campaigns, social media content, event management, promotions & incentives, reporting, and project management.

Oversees the management of sales leads from digital marketing campaigns, walk-ins, referrals and other avenues. Weekly reporting to track success of conversions and lead generation through Lasso CRM.

DUTIES/QUALIFICATIONS:    

  • Support sales staff by providing sales data, market trends, forecasts, and account analyses reports from Lasso
  • Communicate with sales staff on community updates to effectively revise print and digital materials
  • Build and develop strategy to meet and exceed sales revenue objectives
  • Spearhead recruiting efforts for the sales team, and conduct training program for new sales hires
  • Create and implement creative marketing strategies to increase paid and organic users, web traffic, and social interactions
  • Update WordPress website content and run weekly plug-in upgrades
  • Schedule and coordinate promotional videos, professional photography, virtual reality tours, etc. with vendors
  • Work with service team, sales and homeowners for new testimonials and referrals
  • Schedule and plan multiple community events and promotions, as well as internal staff events, monthly meetings, and quarterly gatherings
  • Organize and execute VIP and Grand Opening events for new communities and models
  • Assist with Annual Family Picnic and Holiday Party planning
  • Organize company volunteer events
  • Work with third-party agency to develop and execute unique and organic social media content and ad campaigns
  • Manage print contractors and other promotional vendors
  • Develop content for company collateral and collaborate with Digital & Print Designer on all outgoing marketing materials
  • Manage annual sponsorship contributions
  • Create and implement Annual Marketing & Communication Plan

REQUIREMENTS:

  • Bachelor’s degree in marketing, communications or related field
  • 1-3 years of sales experience
  • 1-3 years of marketing experience
  • Some weekend involvement for grand openings and events
