Under the general direction of the Purchasing Manager the Purchasing Coordinator is directly responsible for managing the purchase order process. The Purchasing Coordinator will assist the Purchasing Manager with the bidding of jobs, preparing budgets for new homes, and preparing quotes requested from the Sales team for New Home Custom Option Requests.  We are a hard working team who is communally focused on providing excellence to our clients.  We are a growing team and we’re looking for like minded professionals to help us continue our ascent.

  • Maintain the Purchase Order database, generate accurate purchase orders, distribute, and process approved purchase orders for payment
  • Create new jobs on Builder trend, upload all job-related documents and maintain documentation throughout the project
  • Conduct Job Start audit with Superintendents prior to job start to ensure accuracy on plans, purchase orders and buyer’s selections
  • Maintain pricing for each Trade partner in files and in Purchase Order database
  • Ensure that all necessary documentation has been collected from Trade partners prior to start of work and, thereafter, update on an annual basis. (i.e.: subcontract, W-9, pricing, scopes of work, occupational license, etc.)
  • Maintain accurate standard specifications and scopes of work for each Trade partner
  • Provide consistent and strong support to Superintendents, Sales and Accounting
  • Compile and submit permit packages to villages and maintain permit database
  • Generate job specific cost budgets prior to start of construction for Purchasing Managers approval
  • Process custom option requests on a timely basis
  • Create sketch, as necessary, for custom option requests
  • Process change orders on homes under construction within 48 hours
  • Reduce any office related variances through clarifications of plans (accurate plans with sufficient detail)
  • Check all plans for completeness and accuracy
  • Administrative duties as necessary
  • New Home Construction (2 years)
  • Purchasing (1 year)
  • Proficient in all Microsoft Programs
  • Drafting/Design
  • CAD/Chief Architect or similar

We are looking for a skilled Accounting Administrator to perform a range of accounting, purchasing, and administrative tasks. This includes but is not limited to, processing invoices, purchase orders and various office-related duties.   • Minimum 1-year prior accounting experience required
  • Home building experience preferred
  • Accuracy and attention to detail
  • Organizational aptitude
  • Able to adapt and multi-task when necessary
  • Experience in MS Office and Quick Books required
  • People skills to handle communication articulately and professionally with customers, employees, and vendors
  • Willingness to learn new and varied tasks
  • Minimum 2-year degree required, 4 year degree preferred
  • Enter approved invoices and approved purchase orders in QuickBooks
  • Compile permit submittal packages to municipalities
  • Update and maintain job database via construction management software
  • Assist with the input of variance purchase orders
  • Enters data into computer system each day. Sets up new vendors in the accounting database
  • Generate accurate purchase orders and distribute them to trades
  • Ensure that all necessary documentation has been collected from Trade Partners prior to start of work and, thereafter, update on an annual basis. (i.e.: master contract, W-9, pricing, scopes of work, standard specifications, liability and workman’s compensation, certificates of insurance, occupational license, etc.)
  • A willingness to handle accounts payable issues with vendors when necessary
  • Assists with closing process for jobs closed during the month as part of the end of month procedures
  • Manages internal scheduling construction database
  • Accept job progress information from schedule
  • Prepare bi-weekly check run for approval, and requests special check runs when necessary
  • Annually assists with the production of the vendor 1099 forms prior to January 31 each year
  • Special projects as assigned by immediate supervisor
  • Accuracy and timeliness of entering data
  • AP reports sent on a bi-weekly basis
  • File organization is up to date weekly
  • Assigned special projects are completed per assigned schedule and with high degree of accuracy
  • Lemont office (will move to Burr Ridge in summer 2021), remote work possible
  • Computer to be provided
